Uploading and Managing Media
You can attach photos, videos, and documents to a job to keep a visual record of the work. Media can be uploaded when creating or editing a job, or added later from the job detail page.
Overview
You can upload and manage media across multiple areas of Swivl leads, customers, jobs, tasks, estimates, invoices, inventory, subcontractors, and your AI Website Builder. Media can be uploaded when creating or editing a record, or added later from the detail page.
Who can access this

Where you can add media
Media can be attached across the following areas of Swivl:
- Leads: supporting photos or documents captured at the time of enquiry
- Customers: profile photos, contracts, or account documents
- Jobs: photos, videos, and documents related to the work
- Tasks: supporting files for a specific step within a job
- Estimates: reference images or supporting files for a quote
- Invoices: supporting documents attached to a bill
- AI Website Builder: logo, brand images, and service photos for your website
- Inventory: photos of assets, materials, or equipment
- Subcontractors: profile photos and supporting documents
How to add media when creating or editing a record
- Open the create or edit page for the relevant record (job, task, customer, etc.).
- Scroll to the Media and Documents section.
- Click the upload area or drag and drop files into it.
- Select one or more files from your device.
- Click Save to save the record along with the uploaded media.
How to add media from a detail page
- Open the detail page of the relevant record.
- Find the Media and Documents or Job Media section.
- Upload files directly they are saved immediately without needing to re-save the record.
Supported file types
- Images: JPEG, PNG, HEIC, HEIF, and other common image formats
- Videos: MP4 and other video formats
- Documents: PDF, Word (DOCX), and other document files
Maximum file size: 5MB per file for most records.
Viewing and managing media
- Uploaded media appears as thumbnail cards grouped by type.
- Click any thumbnail to view the full-size image, play the video, or download the document.
- To delete a file, click the delete icon on the media card and confirm when prompted.
- Use the Download button to save files to your device.
Tips
- Uploading media when creating a record is optional, you can always add files later from the detail page.
- On mobile, you can upload photos directly from your camera.
- Large files may take a moment to upload a progress indicator shows the upload status.
- Media attached to linked estimates and invoices also appears on the job detail page for a complete picture.
