Viewing Customer History (Read-Only)

As a Lead Technician or Technician, you have read-only access to customer profiles in Swivl, giving you the information you need before arriving on site.

Overview

View customer profiles and work order history in Swivl to get the context you need before a site visit. Lead Technicians and Technicians can browse customer information but cannot make changes.

Who can access this

  • Lead Technician: view-only access to customer profiles and history.
  • Technician: view-only access to customer profiles and history.
  • Super Admins and Admins have full access.

What you can see

Customer profiles in Swivl are organised into several sections. As a Lead Technician or Technician, you can view all of them but cannot edit anything.

Customer information

At the top of the profile you will find:

  • Customer name and status (Active or Inactive)
  • Profile photo or initials avatar
  • Service areas and tags associated with the customer
  • Social media links (website, Facebook, Instagram, X) — click any icon to open in a new tab
  • Activity Logs: click to view a timeline of changes made to this customer record

Address and contact details

  • Address Details: shows service locations with Primary and Billing address badges, along with address notes. Click View All if there are more than two addresses.
  • Contact Details: shows contact names, phone numbers, and emails. Badges indicate Primary and Billing contacts. Click View All to see all contacts.

Additional Information

Expand the Additional Information section to view:

  • Account managers and sales managers assigned to the customer
  • Attachments: any documents uploaded to the customer profile

Work Order History

The Work Order History section contains tabs for:

  • Jobs: jobs linked to this customer with job number, status, total costs, and open balance
  • Tasks: tasks assigned for this customer with status and scheduling details
  • Invoices: invoices sent to the customer with amounts and payment status
  • Estimates: estimates created for the customer

Financial Summary

The Financial Summary section shows financial data for the past 6 months:

  • Total Revenue: the total amount paid by this customer
  • Overdue Balance: amounts past their due date
  • Open Balance: total amount still to be paid
  • Aging Summary: a breakdown of outstanding balances by time period (Current, 1–30, 31–60, 61–90, 90 and over)
  • Account Ledger Statement: a detailed record of all transactions including date, type, reference number, due amount, paid amount, and balance

Customisation

The Customisation section shows the customer-specific pricebook. You can browse products and services with their pricing tiers (Tier 1, Tier 2, Tier 3), custom rates, invoice and estimate descriptions, taxable status, and default tier. Use the search bar to find a specific product or service.

Default Cost Markup

The Default Cost Markup section shows the markup percentages applied to this customer's job costs across the following categories:

  • Vehicle
  • Labor
  • Material
  • Tools and Equipment
  • Subcontractor
  • Other

Tips

  • Use Activity Logs to quickly catch up on recent changes to a customer before a site visit.
  • Check address notes on the address cards for gate codes, parking instructions, or other on-site details.
  • If you need anything changed on a customer profile, contact your Admin or Super Admin.
